Privacy Policy

Effective date: October 24, 2026

This Privacy Policy explains what information Emverity collects when you use our website, patient portal, trial matching and pre-screening tools, how we use and share it, and the choices you have. By using Emverity, you agree to the practices described here.

1. Information we collect

Information you give us directly: your name, email address, phone number and account password when you create a patient portal account or contact us.

Health and eligibility information you choose to provide: your age, diagnosis or condition, current medications, and location (city, state or ZIP code) when you use the trial match and pre-screening tools, save match history, request a referral, or apply to a study.

Referral and application details: which studies you asked about, your pre-screening results, and the consent choices you make.

Technical information: standard log data such as your browser type, device, pages visited and approximate location derived from your IP address, used to keep the site secure and working properly.

2. How we use your information

To match you with clinical trials whose inclusion and exclusion criteria appear to fit the answers you provide.

To create and send referrals or applications you request to the research teams running those studies.

To operate your patient portal account, including showing your saved match history and the status of your referrals.

To communicate with you about studies you asked about, your account, or changes to our services.

To track and bill study sponsors and research sites for referrals, where applicable. Billing records may reference a referral but we do not sell your health information.

To maintain the security of the site, prevent misuse, and comply with legal obligations.

3. Who we share your information with

When you request a referral or apply to a study, we share the answers and contact details you provided with the research teams involved in that study. This can include principal investigators and their study staff, study sponsors, contract research organizations (CROs), and site management organizations (SMOs) such as Emvera Health, so they can contact and screen you.

We share information with service providers that help us operate the site (for example hosting, database and email providers), under contracts that require them to protect it.

We may disclose information if required by law, regulation, legal process, or to protect the rights, safety and security of Emverity, our users or others.

We do not sell your personal or health information, and we do not share it with advertisers.

4. Health information and HIPAA

Emverity is not a health care provider, health plan or health care clearinghouse, and is generally not a 'covered entity' under the Health Insurance Portability and Accountability Act (HIPAA). Even so, we handle the health information you entrust to us with administrative, technical and physical safeguards modeled on HIPAA principles, including access controls and limiting access to staff and partners who need it to operate the service.

Once your information is received by a research site, sponsor, CRO or other covered entity, their own HIPAA privacy practices and the study's informed consent form govern how they use and protect it. We encourage you to read each study's consent documents carefully.

5. Your choices and rights

Sharing your information is voluntary. You can decline any study at any time, and declining will not affect any care you receive elsewhere.

You can delete saved match history from your patient portal at any time.

You may ask us to access, correct or delete your account and personal information by contacting us at hello@emverity.com. We may need to keep certain records where required by law or for legitimate business purposes, such as referral billing records.

You can close your account at any time by contacting us. Closing your account does not withdraw information already shared with a research team; to do that, contact the study team directly.

6. Data retention and security

We keep your information for as long as your account is active or as needed to provide the service, track referrals and billing, and meet legal obligations. Match history you delete is removed from your portal view and scheduled for deletion from our systems.

We use industry-standard safeguards including encryption in transit and access controls. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

7. Children

Emverity is intended for adults 18 and older. We do not knowingly collect personal information from children under 18. If you believe a child has provided us information, contact us and we will delete it.

8. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we will post the updated policy on this page with a new effective date and, where appropriate, notify you by email or through the patient portal.

9. Contact us

If you have questions about this Privacy Policy or how your information is handled, contact us at hello@emverity.com.
